Project Coordinator

Position Overview

 

The ERP Project Coordinator is responsible for coordinating a number of small projects and administrative tasks to support a large ERP Software Implementation project from Discovery through to the Go-Live and Hyper Care phases. The Project Coordinator will be responsible for supporting the US Project Manager, running small-medium sized projects and assignments, as well as scheduling and facilitating meetings for the project team, including drafting meeting minutes and tracking and following-up on action items.  The Project Coordinator will also be creating presentations and reports, tracking data, assisting with international and domestic travel and event coordination, along with various other duties as required.  This position will need to accommodate various time zones due to the project team being dispersed across the globe. 

 

Duties/Responsibilities

 

  • Partner with business leaders to deliver services that support company objectives that are consistent with our Winning Together values.
  • Manage and facilitate projects, activities and events in cooperation with and under the direction of the US ERP Project Manager and ERP Project Leads.
  • Work with internal stakeholders to communicate resources, schedules and deliverables in a timely manner.
  • Be accountable for project results, staying on-budget and on-schedule while maintaining stakeholder satisfaction.
  • Provide status reports throughout the project of any issues or delays against project delivery commitments.
  • Quickly escalate any issues that will negatively affect end-user satisfaction and project goals/timeline.
  • Assist the Project Manager in coordinating and managing resources required to fulfill project delivery.
  • Schedule and facilitate project meetings using MS Teams and Outlook.
  • Take meeting minutes, log and track open issues and follow-up on action items accordingly.
  • Maintain tracking of complex travel itineraries for ERP project team, which will include international and domestic travel.
  • Create and update PowerPoint presentations for project team and companywide meetings.
  • Create and manage excel sheets and large data sets to aid in tracking and analyzing project data.
  • Support with creating and processing vendor invoices and purchase orders as needed.
  • Coordinate and manage project related events and workshops.
  • Various administrative duties and special projects as needed.

Education & Experience Required

 

  • High school diploma or equivalent; Bachelor’s degree preferred.
  • Minimum 3 years of experience in Project Management within the IT industry.
  • PMI certification is a plus.
  • Intermediate to Advanced Excel proficiency.
  • Experience with SAP and MS Teams.
  • ERP project support experience is strongly desired.
  • Business operations and change management exposure/experience a plus.
  • Legally eligible to work in the United States.

  • Able to coordinate multiple resources and work cross functionally with members at many levels of the organization.  
  • Experience in a customer facing support role is a plus.
