Scheduling Coordinator

About the role
The Scheduling Coordinator is responsible for overseeing the intake and execution of resource scheduling requests, ensuring resources are allocated efficiently to meet project and business needs. Acting as the escalation point for scheduling issues, the role provides guidance to Schedulers, ensures all iRequest submissions are managed accurately, and drives process consistency to support the practices.

 

What you'll be doing

  • iRequest Oversight: Monitor and manage all incoming iRequests to ensure proper review, prioritization, and completion. Serve as the main point of contact for escalations related to iRequests.
  • Resource Scheduling Support: Oversee the scheduling process, ensuring resource allocation aligns with project requirements, timelines, and priorities.
  • Escalation Management: Act as the escalation point for Schedulers to resolve conflicts, resource availability issues, and high-priority requests quickly and effectively.
  • Process Consistency: Ensure adherence to established scheduling standards and procedures across all activities, driving consistency and accuracy in resource scheduling.
  • Collaboration with Practices: Partner with practice teams to gain insight into project priorities and future scheduling requirements, facilitating proactive resource allocation.
  • Reporting and Quality Assurance: Monitor scheduling performance, identify recurring issues, and recommend process improvements to enhance overall efficiency.

 

What you have

  • Bachelor’s degree in Business Administration, Operations, or related field (or equivalent experience).
  • 2+ years of experience in a scheduling, resource coordination, or operational support role.
  • Experience with resource management tools, platforms, or ticketing systems (e.g., iRequest, SAP, or similar).
  • Familiarity with project delivery workflows and resource allocation principles is preferred.
  • Operational Excellence: Strong ability to ensure accuracy, consistency, and efficiency in scheduling and re-quest management processes.
  • Problem-Solving: Proactive approach to resolving conflicts and escalations with speed and precision.
  • Communication: Excellent written and verbal communication skills to collaborate effectively across teams.
  • Collaboration: Ability to work closely with Schedulers, practice leads, and resource teams to align on priorities and timelines.
  • Attention to Detail: High level of accuracy when managing iRequests, escalations, and resource allocation.
  • Organizational Skills: Strong ability to manage multiple requests, tasks, and escalations simultaneously.
  • Process Improvement Mindset: Capability to identify opportunities to streamline scheduling processes and implement best practices.
  • Technical Proficiency: Competence with scheduling tools, resource platforms, and Excel or similar reporting tools.
