Reception & Facilities Coordinator

We are seeking a highly organized and efficient Reception and Facilities Coordinator to join our vibrant team. As the first point of contact for our visitors and employees, you will play a key role in creating a professional and welcoming environment. Reporting to the Facilities Manager, you will be responsible for a variety of tasks related to both reception duties and facilities management.
 
Responsibilities:
 
Reception:

 

  • Provide exceptional customer service to visitors, employees, suppliers, and guests.
  • Register visitors, issue access badges, and direct them to their destinations.
  • Manage and maintain the reception area, ensuring a clean and professional appearance.
  • Answer phones, screen calls, and direct inquiries appropriately.
  • Coordinate and schedule meetings and deliveries.

 
Facilities Management:

 

  • Assist in organizing events.
  • Manage the Facilities Ticket tool, ensuring timely resolution of all requests.
  • Coordinate the shipment of materials to employees' homes to enable remote work.
  • Hand out equipment to employees coming to the office.
  • Liaise with suppliers and staff to ensure facilities meet staff requirements and obtain the best level of service.
  • Negotiate supplier costs on work requests, provide cost control information, and ensure best value purchasing.
  • Coordinate and schedule any work related to facilities within the building.
  • Set up and attend regular meetings with providers to improve the client-supplier relationship.
  • Provide support for travel requests.

 
Requirements:


Fluent in English, Spanish and French.
Proficient in Excel.
Previous experience in a reception role in a high-calibre hotel is mandatory (5+ years).

  • Excellent communication skills, both written and verbal.
  • Ability to work well within a team and independently.
  • Organized and efficient with a strong eye for detail.
  • Proactive and resourceful problem-solver.
  • Multi-tasking ability with excellent time management skills.
  • Customer service oriented with a positive and professional demeanour.
